Kanban, Table, Calendar, Gantt, and Flow

Choose the best project view for execution, scheduling, dependencies, and process improvement.

Every view renders the same tasks. Switching view changes the question you are asking, not the underlying data, so nothing needs to be kept in sync.

Use Kanban for flow

Kanban is the working view. It shows tasks as cards across your stages and answers what is moving and what is stuck. If a column is filling up, that stage is your constraint.

Use Table and Calendar for detail

Table behaves like a spreadsheet over your tasks, which makes it the right place for bulk edits and for working with custom columns. Calendar answers a different question: what lands on which day, and where the week is overloaded.

Use Gantt and Flow for planning

Gantt shows sequence and dependencies, so you can see which slip actually threatens a launch date. Flow is the retrospective view, showing throughput and completion so you can tell whether a process change helped or simply moved the queue.

Let the view match the meeting

Different conversations need different views. A daily standup works in Kanban, a client scheduling call works in Calendar or Gantt, and a monthly retrospective works in Flow. Choosing the view before the meeting usually shortens it.

Use custom columns to make views answer your questions

Columns you add, such as priority, channel, budget, or estimated hours, become available across the views and in reporting. Adding the two or three fields your process genuinely depends on turns Table into a working register and makes reports meaningful rather than generic.

Worth remembering

  • Run the day in Kanban, plan in Gantt, and review in Flow.
  • A completed archive keeps finished work out of the way without deleting the record.
  • Custom columns created for Table appear across the other views too.
