How to delete or archive a project safely

Close finished work without accidental data loss.

Closing a project is usually about tidiness, and deletion is permanent. Work through this in order so the record survives even when the project does not.

Complete or transfer remaining tasks

Deal with open work first. Anything still live either gets finished or moves to the project that now owns it. Deleting a project with open tasks removes work somebody was still expecting.

Export the project if a record is required

If the engagement might be questioned later, export before closing. Client work is exactly the category where a record is worth keeping, and an export costs nothing compared with reconstructing a history.

Open the authorized management control

Closing a project is a restricted action. If the control is unavailable to you, that is the permission model working rather than a fault, and the right next step is to ask an Admin or Owner.

Review the impact warning

Read what the warning lists. It tells you what goes with the project, including its tasks and history. This is the last point where the decision is cheap to reverse.

Type DELETE only when permanent removal is intended

The confirmation exists because the action cannot be undone. If you are closing something merely because it is finished and cluttering a list, archiving or completing it is almost always the better choice.

What success looks like

  • Open work is finished or rehomed, a record exists if one was needed, and the project is closed deliberately rather than because a list looked untidy.

Common mistakes to avoid

  • Deleting to tidy up, when completing achieves the same visual result reversibly.
  • Skipping the export on client work that may later be disputed.
  • Deleting with open tasks still assigned to people.
