How to build a public intake form

Capture structured requests and route them to the right project.

An intake form replaces the one-line request that needs three follow-ups. It collects what you need up front and creates the task for you.

Open Public request forms

Intake forms are managed per workspace and are publicly reachable once created. Decide before you start who will be sending requests, because that determines how much explanation each field needs.

Choose the destination project and intake stage

A form points at a specific project and a starting stage, so submissions arrive where triage happens rather than in a general pile. Set this deliberately: requests landing in the wrong place get handled twice.

Select only fields that requesters can answer

Ask for the outcome wanted, the reason, the deadline, and who it is for. Do not ask a requester to choose your internal stage or owner. Every field you add reduces completion, so keep the list to what genuinely changes how you act.

Create and copy the public link

The form is reachable by anyone with the link and requires no account, which is what makes it useful for clients and other teams. Share it where requests currently arrive, such as an email signature or a client onboarding pack.

Submit a test request and verify the resulting task

Send one through yourself and confirm the task lands in the right project and stage with the answers attached. This is the step people skip, and it is the one that catches a misrouted form before your client finds it.

  • A request submitted by someone outside your workspace becomes a task in the right project and stage, carrying enough context that triage takes seconds rather than an email exchange.

Common mistakes to avoid

  • Asking for internal details a requester cannot know, which produces blank or wrong answers.
  • Leaving a form live after a campaign ends, which collects requests nobody is watching.
  • Never testing the form, so routing errors are discovered by the client.
