How to switch between Kanban, Table, Calendar, Gantt, and Flow
Use the right view for execution, schedules, and bottlenecks.
All five views render the same tasks. Switching changes the question you are asking, not the data, so nothing needs keeping in sync.
Use Kanban for daily stage movement
Kanban is the working view. Cards across stages answer what is moving and what is stuck. A column that keeps filling is showing you your constraint, which is usually more useful than any report.
Use Table for structured comparison and bulk review
Table behaves like a spreadsheet over your tasks. It is the right place for bulk edits, for auditing whether fields are populated, and for comparing many tasks on the same attribute at once.
Use Calendar for deadlines
Calendar answers what lands when. It is where overloaded weeks become obvious, which is much harder to see on a board where everything looks like an equal card.
Use Gantt for schedules and dependencies
Gantt shows sequence. It is the view for answering whether a slip threatens a launch date, because it shows what depends on what rather than just what is late.
Use Flow for throughput, idle work, and bottlenecks
Flow is retrospective. It shows completion and where work sits idle, which is how you tell whether a process change helped or simply moved the queue somewhere less visible.
What success looks like
- The team runs the day in Kanban, plans in Calendar and Gantt, and reviews in Flow, without anyone maintaining a separate tracker to answer scheduling questions.
Common mistakes to avoid
- Running every conversation in Kanban, including scheduling ones it cannot answer.
- Treating Flow as a vanity chart rather than a prompt to change the process.
- Maintaining a spreadsheet alongside Trellis because nobody realised Table exists.
